Are you a highly organized, process-driven individual with a knack for managing operations seamlessly? We're looking for an Executive Assistant with strong attention to detail and exceptional organizational skills to play a crucial part in our e-commerce store. We value self-starters who take initiative and can work independently, bringing forward solutions and improvements. Do not worry if you do not have much e-commerce experience, we can teach you most of the stuff.

Key Responsibilities:

Process & Operations Management:

  • Develop and optimize various processes for our e-commerce platform, ensuring efficiency and effectiveness in daily operations.
  • Oversee and manage the seamless operation of online systems, focusing on inventory management, data accuracy, and order processing.
  • Implement strategies to streamline workflows and reduce operational inefficiencies.

General E-Commerce Management & Reporting:

  • Regularly monitor and manage the e-commerce platform, ensuring all functionalities are working optimally.
  • Keep all reports related to sales, customer interactions, inventory, and other key metrics up to date and accurate.
  • Analyze reports to identify trends, areas for improvement, and opportunities for growth.

Platform and Integration Management:

  • Oversee the integration of various tools and platforms used in the e-commerce process, such as payment gateways, CRM systems, and shipping services.
  • Ensure smooth functionality across different platforms and troubleshoot any issues that arise.
  • Stay informed about new e-commerce tools and technologies that could improve our platform’s performance.

Administrative Support and Coordination:

  • Provide direct administrative support to the management, including scheduling, correspondence, and document management.
  • Organize and maintain digital files and records related to e-commerce operations for easy access and reference.

Ideal Candidate:

  • At least 2 years of experience as an Executive Assistant, Virtual Assistant, or similar role.
  • Exceptional organizational skills and attention to detail.
  • Trustworthy with sensitive information and able to maintain confidentiality.
  • Growth mindset, curious, and open to learning new things.
  • Excellent written and verbal communication skills in English.
  • Familiarity with AI tools like ChatGPT. Open to adopting new no-code solutions and modern cloud apps.
  • Experience with tools like Shopify, Shipstation, Gorgias, and GMC is a plus.

Job Types: Full-time, Contract

Salary: 10.00€ - 15.00€ per hour

Expected hours: 40 per week

Ability to commute/relocate:

  • Lisboa, Distrito de Lisboa: Reliably commute or planning to relocate before starting work (Preferred)
